Adding a new email address to Microsoft Office Outlook 2003

Make sure you have your email address, username, password and server name.  If in doubt, contact me.

Open Outlook

Select “Tools” the “email” from the menu at the top

Select “Add a new e-mail account”, click Next>

Select Server type “POP3”

Enter your own details

Click “More Settings” button on the right

Click the “outgoing server” tab at the top and tick “My outgoing server requires authentication (this stops other people using your email account for spam).

Tick “use same settings as my incoming mail server”

Click on “OK”

Click on “Test Account Settings”

If the test fails, check that you have set the “More Settings” (above) correctly and that you have spelt everything correctly – wait 10 minutes and try again.

If it still fails, contact me annabel@gavial.co.uk

Close the test window then click next and finish

MULTIPLE MAIL ACCOUNTS

These days it is not unusual to have a number of email accounts.  You can set up as many accounts on outlook as you like.  You will need to decide which account will be your “default” account (ie the one outlook will use unless you tell it to do something else).

You can change the default account by choosing “tools” then “email accounts” from the top menu.

Select “view or change email accounts”

Click next and highlight the account you would like to use as default then select the “set as default” button on the right.

If you run multiple accounts, it is advisable to set up different folders for each account.  See Outlook help for further information.
